Google Workspace migration for a professional services firm
Migrating ~45 users from a mixed Microsoft / legacy mail setup to Google Workspace with planned cutover and two weeks of hypercare.
Challenge
The firm had growing collaboration friction: shared drives were inconsistent, mailbox quotas caused weekly tickets, and partners wanted browser-first Docs without losing calendar reliability. A previous “DIY weekend cutover” attempt had been abandoned.
Approach
- Discovery of mailboxes, aliases, DNS and file shares
- Pilot with partners + finance + ops (8 users)
- Staged Drive migration and MFA rollout before MX change
- Friday evening MX cutover with Monday hypercare desk
- Leavers/joiners runbook handed to practice manager

Results (anonymised)
- ~15 minutes of inbound mail gap at cutover (planned MX TTL)
- Zero lost mailboxes; aliases and shared inboxes remapped
- ~40% fewer “where is that file?” tickets in the first month (internal count)
- Partners adopted shared Drives for matter folders within two weeks
