IT and temperature monitoring for hospitality

Hospitality technology is judged during service. Teknikal keeps the systems that matter working — POS, Wi-Fi, email and bookings — and replaces clipboard fridge checks with continuous monitoring that produces a complete record.

Who this is for

Restaurants, cafés, pubs, hotels, caterers and multi-site hospitality groups across the UK. Hospitality is where our monitoring platform started, and it remains the environment we know best.

Service does not wait for IT

In hospitality, a technology problem is immediately a customer problem. A card terminal that will not connect at 8pm is not a ticket for tomorrow.

The other recurring issue is food safety records: the checks that must happen twice a day, during the two busiest periods of the day, by people whose priority is service.

  • Fridge checks missed or completed from memory at the end of a shift
  • POS and card payments dropping because the network was never designed for the site
  • Guest Wi-Fi sharing the same connection as the tills
  • Agency and seasonal staff needing access with no consistent process
  • Multi-site groups with no way to see how each venue is actually performing

Fridge and freezer temperature monitoring

This is the most common starting point for hospitality clients. Sensors in walk-ins, prep fridges and freezers record continuously, alert when a unit drifts, and produce a complete log without anyone carrying a probe around during service.

The product detail sits on restaurant temperature monitoring for kitchens, and commercial fridge and freezer monitoring if your focus is individual appliances across a site. Larger chambers and central production stores are covered by cold storage monitoring.

  • Continuous recording in walk-ins, under-counter units and freezers
  • Alerts to the duty manager's phone before stock is at risk, with escalation if unacknowledged
  • Door-open and defrost-aware thresholds, so normal kitchen behaviour does not generate noise
  • A digital record covering nights, weekends and closures — the periods clipboards never captured
  • Exportable history for EHO visits, franchisor audits and insurance questions

Food safety records and what monitoring can honestly claim

Continuous monitoring gives you a timestamped, complete temperature record that supports your HACCP-based procedures and stands up better than a handwritten sheet.

What it does not do is make a business compliant on its own. Compliance is your food safety management system, your procedures and your people; monitoring produces the evidence those procedures depend on. Any supplier promising compliance in a box is overselling.

Networks, POS and payment reliability

Most hospitality network problems come from one root cause: a single consumer-grade connection shared between tills, guests, back office, music and CCTV.

We separate those, give tills and payment terminals a protected path, and design guest Wi-Fi that cannot degrade service. See networking, backup and disaster recovery. We support the environment around your POS rather than replacing it — that relationship stays with your POS vendor.

Google Workspace for venue and head office teams

Rotas, supplier documents, recipes, compliance records and manager handovers usually live in a mix of personal email and paper.

Moving them into a shared, properly permissioned platform makes handover between managers survivable and stops information leaving with a departing employee. See Google Workspace migration and support.

High-turnover teams and access control

Hospitality has staff turnover that would alarm most industries, and access tends to accumulate: shared logins, a manager's personal account used for supplier ordering, and former staff still in group chats.

We set up role-based access and a leaver process that actually gets followed, because it takes seconds rather than requiring a call.

Multi-site groups

For groups, the value shifts from individual venue fixes to comparability: the same setup in each site, one dashboard for conditions, and exceptions surfaced to area managers instead of buried.

The cold chain monitoring case study covers a multi-site deployment and how alerting was structured across locations.

Where AI is useful in hospitality

The realistic wins are around inbound enquiries and admin rather than anything customer-facing during service.

Booking and FAQ questions arriving out of hours can be handled automatically with clean handover to a human — see AI chatbots and agents. Supplier invoices and delivery notes are good candidates for AI document processing.

Frequently asked questions

That is the point of setting thresholds correctly. Alerts are configured to fire on sustained drift rather than momentary door openings, giving you time to move product or call an engineer. The trade-off between early warning and false alarms is tuned per unit during the first couple of weeks.

Yes. Sensor selection accounts for the operating temperature range and the fact that signal behaves differently through insulated panels and metal doors, which is why placement is decided on site rather than from a floor plan.

Yes, and we would generally recommend it. POS systems are specialist and tied to your payment arrangements. We look after the network, connectivity and general IT around the POS so the terminal has a reliable path, and we coordinate with your provider when the fault is in the application.

One. A single site with a walk-in and a couple of freezers already has enough stock value at risk to justify monitoring. Groups get an additional benefit — comparability and central visibility — but the basic case works at one venue.

For the units you monitor, yes: you get a continuous digital record instead of twice-daily manual entries, and it covers the periods nobody was there. Your wider food safety management system still needs the other checks it specifies — monitoring replaces the temperature logging, not the system around it.
